Diasporta LLC (“Diasporta,” “we,” “us,” or “our”) respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains how we collect, use, disclose and protect information when you visit the Diasporta Bookkeeping website, contact us, schedule a consultation or become a client.
1. Information we collect
Information you provide to us
Depending on how you interact with us, this may include your name, email address, telephone number, business name, information about your business and bookkeeping needs, information you provide when scheduling a consultation, communications you send to us, and billing or payment-related information.
If you become a client, we may also receive business and financial information necessary to provide bookkeeping services, including accounting records, transaction information, account statements, reports and other records you choose to make available to us through QuickBooks Online or other approved systems.
Information collected automatically
When you visit our website, our website hosting provider may automatically receive limited technical information such as your Internet Protocol (IP) address, browser and device information, date and time of access, pages requested, and basic security or server-log information.
We do not currently use the Diasporta website for behavioural or targeted advertising.
2. How we use information
We may use personal information to respond to enquiries; schedule and conduct consultations; determine whether our services are a suitable fit; onboard clients; provide and manage bookkeeping services; communicate about accounts and services; process and administer payments; maintain appropriate business and accounting records; protect our website, systems, clients and business from fraud, misuse or security threats; improve our services and operations; and meet legal, regulatory, tax, contractual or professional obligations.
We limit our use of personal information to purposes reasonably connected with our business relationship with you.
3. Bookkeeping and financial information
Providing bookkeeping services requires access to information that may be confidential or financially sensitive. Diasporta uses client information only as reasonably necessary to provide the agreed services, administer the client relationship, perform quality-control procedures and meet applicable legal or contractual obligations.
Bookkeeping work may be performed by qualified bookkeeping professionals engaged by Diasporta. These professionals are given access only as reasonably necessary to perform their assigned work and are required to handle client information confidentially.
Diasporta does not sell client financial information.
4. QuickBooks Online and other service providers
Diasporta may use third-party service providers to operate our business and deliver services. These may include providers of QuickBooks Online and related accounting technology, appointment scheduling, website hosting, email and business communications, cloud file storage, payment processing, business administration and security services.
When you schedule a consultation through Cal.com or use another third-party service, information you provide may also be processed by that provider under its own privacy policy and terms. We encourage you to review the privacy policies of third-party services you choose to use.
5. How we share information
We may disclose personal information to bookkeeping professionals and contractors working on behalf of Diasporta; technology and service providers that support our operations; professional advisers when reasonably necessary; government authorities, regulators, courts or other parties when disclosure is required by law or valid legal process; or a successor or prospective successor in connection with a merger, sale, restructuring, financing or transfer of all or part of the business.
We do not sell personal information. We do not share personal information for third-party targeted advertising.
6. Data security
We use reasonable administrative, technical and organisational measures designed to protect personal information against unauthorised access, disclosure, alteration, loss or misuse. However, no internet transmission, electronic system or storage method can be guaranteed to be completely secure.
Clients are also responsible for maintaining the security of their own accounts, passwords, devices and authorised-user access.
7. Data retention
We retain personal information for as long as reasonably necessary to provide our services, maintain our business relationship with you, keep appropriate business and financial records, resolve disputes, enforce agreements, and meet legal, tax, regulatory or contractual requirements.
When information is no longer reasonably required, we may delete, anonymise or securely dispose of it, subject to applicable record-retention requirements.
8. Cookies and similar technologies
The Diasporta website does not currently use advertising cookies or behavioural tracking technologies. Our website host may use essential technical processes necessary to deliver, protect and maintain the website.
Third-party websites or services accessed through links on our website, including scheduling services, may use their own cookies or similar technologies. Their practices are governed by their respective privacy policies.
If we later introduce analytics, advertising technologies or other material tracking tools, we will update this Privacy Policy as appropriate.
9. Your privacy choices and rights
Depending on where you live and which privacy laws apply, you may have rights relating to your personal information, including rights to request access, correction, deletion or a copy of certain information, and to exercise other choices provided by applicable law.
We may need to verify your identity before completing a request. Certain information may be retained where necessary to comply with legal obligations, maintain appropriate business records, protect legal rights, prevent fraud or complete services you requested.
To submit a privacy request, email privacy@diasportabookkeeping.com. If applicable law provides a right to appeal a decision concerning your privacy request, use the same address and identify your request as a Privacy Appeal.
10. Children's privacy
Diasporta's website and bookkeeping services are intended for businesses and adults. We do not knowingly collect personal information online from children for the purpose of providing our bookkeeping services. If we learn that we have received personal information from a child in circumstances where it should not have been collected, we will take reasonable steps to delete it.
11. Third-party links
Our website may contain links to websites or services operated by third parties. Diasporta is not responsible for the privacy, security or content practices of third-party websites. Your interaction with those services is governed by their own policies and terms.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, business practices or legal requirements. When we make material changes, we will post the revised policy on our website and update the effective date above.
